There are several configuration options for Signup Sheets. Some options are available for all types of sheets, whereas others are specific to certain types of sheets.
Associate with Schedule Builder event — Select the dropdown menu to link this Signup Sheet to an item on the course schedule. You can only link to items that are not already linked to another sheet.
Note: When you link to an item in Schedule Builder, this will autofill and lock the Title, Signups open on, and Signups close on fields, which can then only be edited from Schedule Builder. The link will also replace any other link that might have existed in the Schedule Builder item before, such as a Drop Box.
Title for this signup sheet — Enter the title for the Signup Sheet.
Signups open on — Enter the date and time on which students can start accessing the Signup Sheet.
Signups close on — Enter the date and time on which students can no longer access the Signup Sheet.
Require students to sign up — Select Yes to automatically send students a reminder that they need to sign up a day before the signups close (if they have not already signed up).
Notify faculty when a student adds or deletes a signup — Select Yes and provide an email address to designate where notifications of signup/deletion will be sent. Multiple email addresses can be entered if separated by a comma (“email1@jhu.edu,email2@jhu.edu”).
Create course group for this sheet — Select Yes to automatically create a course group for the people who sign up on this sheet.
Don't let students see who has already signed up — Select Yes to prevent students from seeing anyone else who has signed up on that sheet.
Require students to leave a comment about why they are signing up — Select Yes to require that students provide a brief comment with their signup on that sheet.
Maximum number of signups allowed — Enter the maximum number of signups allowed on that sheet.
Link to video conference tool — If applicable, enter the link to the video conference tool you will be using, such as Zoom or Teams.
Instructions — Provide any guidance to students about the signup process or purpose of the Signup Sheet itself.
Time Slot-Based Signup Sheet Options
First appointment begins — Enter the date and time that will determine the initial meeting slot available for the Signup Sheet.
Last appointment ends — Enter the date and time that will determine the final meeting slot available for the Signup Sheet.
Allow students to sign up on behalf of a group — Select Yes to let any member of a group sign up on behalf of their group.
Note: Group signups will count as one signup regardless of group size.
Allow students to sign up for more than one slot ... — Select Yes if you want to allow students to sign up for more than one slot.
Repeat this signup weekly — Select Yes if you would like to automatically create time slots for a certain number of weeks in the future.
Number of weeks to repeat this time slot–based signup sheet — Enter the number of additional weeks that slots should automatically be created for.
Note: This option only appears if you select Yes for Repeat this signup weekly.
Number of time slots to divide this time slot-based signup sheet into — Enter the number of slots that should be available for the sheet.
Note: In conjunction with Event starts and Event ends, this field determines the duration of each slot in a time slot-based Signup Sheet. For example, if the Event starts and Event ends values make it so that the event lasts for an hour, and you enter 4 as the value for Number of time slots to divide this time slot–based signup sheet into, then each time slot will last for 15 minutes.
It is also important to note that the number of slots available pertains to each week. For example, if you set up 4 time slots in the initial week and repeat the sheet for 3 additional weeks, there will be 16 slots total.
Group of Signup Sheets Options
Allow students to sign up on behalf of a group — Select Yes to let any member of a group sign up on behalf of their group.
Note: Group signups will count as one signup regardless of group size. When this option is enabled, it will hide the option to create course groups from the group of sheets.
Allow students to sign up for more than one sheet ... — Select Yes if you want to allow students to sign up for more than one sheet.
