To better understand the process of setting up a Signup Sheet and sharing it with students, let's walk through an example scenario of having students select which time they will do a final presentation. The example walkthrough below assumes the following:
- The presentation day is Friday, March 22, and the class period is from 12 PM to 2 PM.
- There are 15 students in the course who need to present.
- Students will present individually (not in groups).
- We want the order of presentations to be locked in at least a week before the presentation day.
Create a New Signup Sheet
- Select Signup Sheets under Activities and Assignments on the main Faculty Tools page.
- Select Add New Signup Sheet.
- Since students will need time slots to choose from, select Add a time slot-based signup sheet.
- Enter a Title, such as "Final Presentations."
- For Signups open on, select when students can begin accessing the Signup Sheet. If the presentation day is on Friday, March 22, you may want to let students start signing up two weeks before on Friday, March 8.
- For Signups close on, select when students stop being able to access the Signup Sheet. Since we want the order locked in at least a week before, enter Friday, March 15.
- For Event starts, enter March 22, 12 PM (the class period’s start time).
- For Event ends, enter March 22, 2 PM (the class period’s end time).
- Since students will present individually, select No for Allow students to sign up on behalf of a group.
- Since students will only present one time, select No for Allow students to sign up for more than one slot in this time slot-based signup sheet.
- Since there are 15 students who need to present, enter “15” for Number of time slots to divide this time slot–based signup sheet into.
- Select Save.
Create Event on the Schedule
Once a Signup Sheet is created in a course, students can access it by selecting Resources > Signup Sheets in the menu bar. However, it may not be obvious to students that there is a sheet needing attention, so it makes sense to give it a dedicated entry on the schedule.
- Select Schedule Builder under Content Tools > Course Content on the main Faculty Tools page.
- Select Add New Event.
- For Associate Event with, select Signup Sheet.
- In the next dropdown menu that appears, select the Final Presentations sheet that was just created.
- This will then automatically fill in the Event Type, Title, and Dates fields.
- Select Save.
Following these steps, the presentations Signup Sheet has been created, and students will be able to access it directly from the Content page!
